How to Resolve Printer Offline Problem?

🔌 1. Check the basics (quick but important)

  • Make sure the printer is powered on (no error lights).

  • Check USB / Ethernet / Wi-Fi connection.

  • If it’s Wi-Fi: confirm the printer and computer are on the same network.

  • Restart both the printer and your computer.

🖥️ 2. Set the printer to “Online”

Windows

  1. Go to Control Panel → Devices and Printers

  2. Right-click your printer → See what’s printing

  3. Click Printer (top menu)

  4. Uncheck:

    • ❌ Use Printer Offline

    • ❌ Pause Printing

🔄 3. Restart the Print Spooler (Windows)

  1. Press Win + R, type services.msc, hit Enter

  2. Find Print Spooler

  3. Right-click → Restart

This fixes a ton of stuck-offline issues.

📡 4. Reconnect Wi-Fi printers

  • On the printer screen: reconnect to your Wi-Fi network

  • If your router was recently changed or reset, the printer likely lost the connection

  • Print a Network Configuration Page from the printer to confirm connection

🧾 5. Clear stuck print jobs

  • Open the print queue

  • Cancel all pending jobs

  • Restart the printer afterward

🧩 6. Update or reinstall the printer driver

  • Download the latest driver from the printer manufacturer’s website

  • Avoid generic drivers when possible

  • After installing, reboot once more (annoying, but effective)
